  • Alumni, where applicable

  • Faculty members

  • Staff members

The person submitting the grievance should provide correct contact details so that the institute can communicate if clarification is required.

Principles of Grievance Redressal

PIIT follows these basic principles while handling grievances:

  • Fair hearing

  • Respectful communication

  • Timely review

  • Confidential handling, where required

  • Proper documentation

  • No unfair treatment for raising a genuine concern

  • Resolution through appropriate institutional channels

How to Submit a Grievance

A grievance may be submitted through official communication channels of PIIT. The applicant should clearly mention the issue, relevant details and supporting documents, if any.

A grievance submission may include:

  • Name of the student/applicant/stakeholder

  • Program/course name, if applicable

  • Roll number/admission number, if available

  • Contact number and email ID

  • Nature of grievance

  • Date and place of incident, if applicable

  • Brief description of the issue

  • Supporting documents or proof, if available

  • Expected resolution or clarification

Incomplete or unclear grievances may take longer to process.

Grievance Review Process

After receiving a grievance, the concerned department or authorized authority may review the matter.

The process may include:

  • Acknowledgement of the grievance

  • Verification of submitted details

  • Review by concerned department or committee

  • Interaction with the concerned person, if required

  • Collection of relevant records or documents

  • Decision or recommendation by the competent authority

  • Communication of response or resolution

The time required for resolution may depend on the nature and complexity of the grievance.

Academic Grievances

Academic grievances may include concerns related to classes, attendance, internal assessment, academic support, timetable, teaching-learning process, practical work or student guidance.

Such grievances may be reviewed by the concerned faculty, department, academic coordinator, principal, director or designated academic authority.

Administrative Grievances

Administrative grievances may include concerns related to documents, certificates, records, fee receipts, office communication, admission formalities, student services or institutional processes.

These matters may be reviewed by the concerned administrative office or authorized official.

Fee and Payment-Related Grievances

Fee or payment-related grievances may include issues related to receipts, payment confirmation, duplicate payment, fee clarification, refund request or cancellation process.

Such matters may be handled according to PIIT’s Fee Payment Policy, Refund Policy and Cancellation Policy.

Student Safety and Discipline Concerns

Concerns related to student safety, ragging, misconduct, harassment, indiscipline or unsafe behaviour will be treated seriously.

Such matters may be referred to the concerned committee, anti-ragging mechanism, disciplinary authority or competent institutional body.

Students are encouraged to report safety-related concerns without delay.

Confidentiality

PIIT aims to handle grievances with sensitivity and confidentiality wherever required. Personal information and grievance details may be shared only with concerned officials or committees for review and resolution.

However, complete confidentiality may not be possible in cases where investigation, legal compliance or regulatory reporting is required.

False or Misleading Complaints

Students and stakeholders are expected to submit genuine grievances. False, misleading, abusive or intentionally harmful complaints may be treated as misconduct and may lead to appropriate action as per institute rules.

Non-Retaliation

PIIT discourages any form of unfair treatment against a person who raises a genuine grievance in good faith.

Students should feel safe to report valid concerns through proper channels.

Timeline for Resolution

PIIT will make reasonable efforts to review and resolve grievances within a suitable time frame. The timeline may vary depending on the issue, documents required, department involved and level of investigation needed.

Urgent safety-related concerns may be given priority.

Escalation of Grievance

If a grievance is not resolved at the initial level, it may be escalated to a higher authority or concerned committee within the institution.

Students and stakeholders should follow the proper escalation process rather than approaching unauthorized persons or using unofficial channels.

Grievance Not Covered Under This Policy

Some matters may not be handled under this policy if they are:

  • Already under legal or regulatory review

  • Related to external authority decisions

  • Based on incomplete or false information

  • Outside the control of PIIT

  • Submitted anonymously without sufficient details

  • Repeated without new facts after closure

PIIT may guide the concerned person to the appropriate channel where possible.
